AI automation for small business: what do you actually get, and what does it cost?

AI automation means setting up software to do routine work in your business for you: answering calls and enquiries, booking meetings, following up leads, writing up notes. The useful version is not a pile of apps. It is a small number of assistants built around the way you already work, using your own prices, hours and voice, with you approving anything that goes out in your name.

Most of what you find first when you search for this is lists of tools. If you are the sort of owner who would rather have it done properly, here is what hiring someone for it involves.

What do AI automation services for small businesses include?

A good engagement has four parts:

  1. A review of your week. Where do the hours and the dropped balls actually go?
  2. A short written plan of what to hand over first, and what should stay with people.
  3. Assistants built and connected to your email, calendar and the tools you already use.
  4. Training and tuning, so you and your staff know how to supervise them and they improve over the first weeks.

Be wary of anyone who skips the first two and starts with software. The choice of what to automate matters more than the technology.

Which jobs are worth automating first?

JobWhat the assistant doesWhy it is a good start
Phone callsAnswers, shares your real answers, books, texts back missed callsA missed call is a lost lead
Enquiries by email and web formDrafts replies in your voice for approvalSpeed wins work
Follow-upKeeps every lead moving and tells you who is waitingEasy to forget when busy
SchedulingProposes times that follow your rulesBack-and-forth wastes hours
Meeting notesWrites up and files the decisionsLow risk, high relief

We cover several of these in detail: answering enquiries, following up every lead and keeping a calendar without double-booking.

How does AI workflow automation differ from using AI tools yourself?

A tool waits for you to open it. An automated workflow runs inside your business: an enquiry arrives, the assistant reads it, checks your calendar, drafts a reply and flags it for you. That connection to your own systems and information is the work, and it is what you are paying for.

Take-up among the smallest firms is still low. The Census Bureau's own survey work found that fewer than one in five firms with four or fewer employees reported using AI in their business, against much higher use in larger firms. Most small owners are still deciding, which is a fair place to be.

What does AI automation set-up cost?

Prices vary widely, so ask for a fixed price and a defined result. Our published prices, which you can see on our pricing page, are:

  • The Front Desk, an AI receptionist on your business line: from $495 a month plus a one-time set-up from $3,500.
  • One Assistant, built for a single job such as correspondence or scheduling: from $6,000.
  • The Assistant Suite, three to five assistants working together with a knowledge base of your own documents: from $15,000.

Each begins with a review of your week and ends in a fixed-price proposal. Compare any quote against the hours you would get back and the leads it would stop you losing.

What should you ask before you hire anyone?

  • What will you automate first, and what will you leave alone?
  • Does it start in approval mode, so nothing is sent without me?
  • Where does my customers' information go, and who can see it?
  • What happens when the assistant is unsure?
  • Who tunes it after launch?

On the last two, the NIST Generative AI Profile is the standard reference for risks such as privacy and unreliable output, and a good provider will have thought about each. If any assistant will phone people rather than only answer, ask about the FCC's ruling that robocall rules apply to AI-generated voices.

Where Bay House fits

We are a small Annapolis studio. We build the assistants, connect them to your tools and teach you to supervise them, and we say plainly what should stay with a person. To see what we build, read about our AI assistants, or for the privacy side, what stays private when you use an AI assistant.

Common questions

What is the first thing a small business should automate with AI?

Pick the job where a slow or missed response costs you money, usually answering enquiries and calls, or following up leads. Those are repetitive, easy to check and easy to keep under your approval.

Is AI automation worth it for a very small business?

It can be, if the hours saved are hours you would otherwise spend on routine messages and scheduling. Count the weekly time and the leads that slip, and compare that with the set-up and monthly cost before deciding.

Who is responsible if an AI assistant gets something wrong?

You are, because it speaks in your name. That is why a good set-up starts in approval mode, keeps a record of what it said and hands anything unusual to a person.
